ROKC Conference 2017

Looking at the viability of hosting a 2017 conference in Sydney. The criteria for it going ahead is simple. I will have to be convinced it can be run on a  cost neutral basis and we have to attract an overseas speaker or a well known local. 

An overseas speaker would need to pay their own expenses, but would be reimbursed some or all expenses from any surplus funds should there be any

I did learn some hard lessons from the 2015 event which will help keep costs down and help things run a bit more smoothly.

We would be looking at either the weekend of Nov 18-19 or Nov 25-26. 

For those from overseas who have always wanted to come to Australia - this would be a great time to come and escape the cold. As an added bonus, I will be looking mainly at venues close to the harbor and near such land marks as the Opera House.

They all push in-house facilities - some no doubt at inflated prices.

Have checked out specialist conference facilities.

The ICC is out of our league. the conference spaces are HUUUUGE.

There are others in Sydney - but one is on the northside and might be tricky to get to and the other, ypu have tp pay for a minimum of 150 people if you want to do it on the weekend. Minimum 20 through the week.

It looks like we have an IT person on board to help out.

We have also secured our first speaker - Greg Poulgrain. Greg will be in Indonesia in November but has kindly offered to do a pre-recrd for us.

Spoiled for choice in Sydney. Lots of places. The live streaming just needs a good WiFi connection. Most of the CBD would have NBN and YouTube allows live streaming of an event. The function centre doesn't have to be involved. All you need is a high end smartphone really with a good camera and maybe a microphone. I'm not sure if I'll be in Sydney or NZ in November. I'm a 50% but if I am I'll put my hand up to get that sorted. I think that's important.

Paul, if you're here, we'll take all the help we can get. We already have a tech person on board, but from the Melbourne experience, more than one to help in that area would be a Godsend. I know FA about the technology needed or how it all works, but we want to stream in live speakers and maybe the mock trial, as well as stream out our event live.

I'll make sure they stock up on cider.

At the moment, the Novotel is the front runner (but am open to other suggestions.).. and from what I've read, their in-house AV people offer streaming services so they must have the right internet speed for it.

I am no tech wiz mate but my son showed me how easy it is. He has an iMac and does his thing on YouTube. It's not that complicated and it stays up forever. No need to reupload it. One of the latest smartphones will do the trick quite adequately but I'd need to stay off the ciders. That's the only technical glitch I can foresee. Smile

I actually like the idea of having it a place with that name cos it's a term with a special place in the Australian lexicon - and not entirely inappropriate for this conference.

Do you have a rough idea when you can determine whether or not your criteria for proceeding are satisfied? Perhaps a cutoff date to commit or no? If this is a go, I assume you'll be selling tickets early like last time?

it'll almost certainly go ahead at this stage. All three venues have said the quotes are good so long as the numbers don't drop below their minimum requirements. In the case of the Vibe, that is 15 attendees. What it means is that they waive a room booking fee and just have the per person fee, so if I book for 15, even if I get below that, the loss will be minimal compared to last time. But since we got more than that last time, I am reasonably confident we'll be okay. The main thing is, if we sell more than the minimum tickets, it is not a problem. The rooms will fit up 200 in some cases and they only need enough notice to organize the extra meals, note pads, pens etc. Where we went wrong last time was locking into a contract for 100, and not getting anywhere near that figure, but still having to pay for that many.

The other issue is the trickier - speakers. We have limited options for live speakers here, and at this stage, all I can count on is myself and Phil Hopley. Getting an overseas speaker on board would help a lot, but the reality is, it will be difficult. The best alternative is what we're aiming for - live webcasts (as opposed to pre-recorded). 

On the up-side, we have someone who can set up the tech stuff. If things go as planned, we will stream in speakers as well the mock trial being put on by CAPA. We will also be showing the documentary, "The Searchers" (which I agree with Paul is a poor choice for the title). We will also look at streaming the conference out.

Bottom line is that the bill will be less than it was two years ago, so that in turn should mean cheaper tickets. I have to sit and crunch some numbers, add up all the costs (additional costs include hire of mics, PA system, projector etc) and see how many tickets I have to sell at "x" amount to break even.

I may even look at having a band play. Having good information to get out is one thing, but it alone does not bring people together or get them interested. People have to go away feeling like they not only learned something, but had a good time and made good connections with like-minded people.

And speaking of info - I'll make this commitment now. If my book is not published and out by then, my talk will be all the new stuff I have for it. 

I am having some issues getting my new website up at the moment, but it will have a ticketing system embedded.

The ROKC Conference 2017 is in the early stages of planning. The tentative venue pending confirmation is the Bankstown Sports Club in Western Sydney, It will be held over one or two days of the Nov 18th-19th weekend (Sydney time).

The Bankstown Sporting Club has a number of fully equipped conference rooms, numerous bars and eateries, an in-house cinema and an in-house hotel.

Tickets will be on sale as soon as the venue and dates are finalized.
If you are interested in giving a talk, it is preferred this be done live, However, we will consider live via skype and pre-recorded options from both local and overseas presenters unable to attend in person. Pre-records should be lodged by September 15 with us.

Those interested, please contact me through the contact page here at the bottom https://www.thenewdisease.space/ and give a brief description of your talk and whether it would be live, via skype or a pre-record. Note for those living overseas: live via skype may mean a very late night or very early morning call due to time differences.
